How to set up e-signature reminders without nagging
Reminders improve completion rates 40%. Over-reminding kills relationships. Here's the cadence that works.
Automated reminders dramatically increase signing completion rates — one study showed 40% improvement with proper cadence. Over-reminding is worse than no reminders.
The proven cadence
- 24 hours — gentle reminder if not signed
- 72 hours — second reminder with escalation to account owner
- 7 days — final reminder before document expires
- Document expires after 14 days — force re-initiation
What "gentle" looks like
> Subject: Quick follow-up on the contract > > Hi [Name], > > Just a friendly reminder that the [Document Name] is waiting for your signature. Link: [sign now] > > If you have any questions or concerns, reply to this email — I'm happy to walk through the document.
What NOT to do
- Daily reminders (unsubscribe level)
- Multiple reminders per day
- Red exclamation points and "URGENT" subject lines
- Automated reminders from your personal email (better to come from platform)
Platform features
SignBolt automates:
- Configurable reminder cadence
- Expiration dates
- Escalation to sender at final stages
- Customizable reminder email templates
Personal follow-up
After 72 hours, best-practice is a personal email or call in addition to automated reminders:
- "Wanted to make sure the contract didn't get lost — any questions?"
- Shows you care about the relationship, not just completion
